GuardTrail ("GuardTrail", "we", "us") provides security-workforce management software to security companies. This policy explains what we collect, why, and the choices you have. It applies to our website guardtrail.net, our mobile app, and the web control room.
Who controls the data
When a security company uses GuardTrail, that company is the data controller for its guards', supervisors', and clients' information. GuardTrail acts as a data processor, handling that information on the company's instructions to deliver the service.
What we collect
- Account details — company name, contact person, email, and phone number.
- Guard & staff records — names, roles, site assignments, shift schedules, and contact details entered by the company.
- Location data — GPS positions during active shifts, checkpoint scans, and geofence events, used for live tracking, patrol verification, and history playback.
- Operational content — incident reports, photos, voice notes, daily activity reports, and messages created in the app.
- Device & technical data — device model, OS version, app version, and diagnostic logs to keep the service reliable on low-end and offline devices.
- Payment information — processed by our payment partners (e.g. JazzCash, Easypaisa, banks, or card/PayPal processors). We do not store full card numbers.
How we use it
- Provide live tracking, patrol verification, alerts, reporting, and client live-view features.
- Authenticate users and secure accounts.
- Provide 24/7 support and troubleshoot issues.
- Process subscriptions and payments.
- Improve reliability, performance, and safety of the service.
- Comply with legal obligations.
Location tracking
GPS tracking is a core function of guard management and operates during shifts as configured by the employing company. Guards are provided the app by their employer; companies are responsible for informing their staff about monitoring in line with local law and their employment agreements.
Sharing
We do not sell personal data. We share data only with: (a) the employing security company and users it authorises; (b) clients granted live-view or report access by that company; (c) service providers (hosting, payments, messaging) under contract; and (d) authorities where required by law.
Retention
We keep data for as long as the company's account is active and as needed to provide the service, then delete or anonymise it within a reasonable period after account closure, unless a longer period is required by law.
Security
We use encryption in transit, access controls, and offline-first sync designed to protect queued data on the device until it reaches our servers. No system is perfectly secure, but we work to protect your information and to notify you of material breaches as required by law.
Your rights
Depending on your jurisdiction, individuals may request access, correction, or deletion of their data. Because the employing company controls the data, please direct such requests to that company; we will support them in responding.
